When you contact us through our website forms or consultation services, you may provide personal information such as your name, email address, phone number (optional), and details about your visa requirements. We collect a phone number only when you choose to give one, and use it solely to follow up on your enquiry by phone, LINE, or WhatsApp. All form submissions require your explicit consent before any data is transmitted. Providing this information is voluntary, but if you choose not to provide the details needed to answer your enquiry (such as your name and a way to reach you), we may be unable to respond or assist you.

Cookies

Our website does not set any non-essential or advertising cookies. Our analytics (Umami and Microsoft Clarity) run in cookieless mode, and we use no Meta, Google, or other tracking pixels. Only strictly necessary security tooling (Cloudflare Turnstile, used on contact forms to block spam) may operate, and it does not track you across sites.

Website Analytics

We use Umami, a self-hosted analytics service, to understand how visitors use our website. Umami is a privacy-focused analytics service that anonymizes all data and does not use cookies or track personal information. This helps us improve our website without compromising your privacy.

Error Monitoring

We use GlitchTip, a self-hosted error-monitoring service, to detect technical problems on our website. It records anonymized diagnostic data such as browser type, page URL, and error messages so we can fix faults. It does not capture form contents or personally identifiable information.

Contact Form Data

When you submit contact forms on our website, your information is processed through Formspree, a secure form handling service. We only collect the information you voluntarily provide and have consented to submit.

How We Use Your Information and Our Legal Basis

We use the information you provide solely for: • Responding to your visa consultation inquiries • Providing professional visa assistance and guidance • Communicating about our services • Improving our website and services Under Thailand's Personal Data Protection Act (PDPA), we must have a lawful basis for each use of your data. Our bases are: • Consent (Section 24): the information you submit through our contact forms, and our use of Microsoft Clarity to understand site usage, are processed on the basis of the consent you give. You may withdraw this consent at any time. • Contractual necessity (Section 24): where you engage us to assist with a visa application, we process your data as necessary to perform that service. • Legitimate interest (Section 24): we run privacy-respecting website analytics (Umami), error monitoring (GlitchTip), and anti-spam security (Cloudflare Turnstile) to keep the site secure and working well. None of these identify you personally. • Legal obligation (Section 24): where Thai law requires us to keep certain records (for example, accounting and tax records), we retain them for the period the law specifies. We do not sell, rent, or share your personal information with third parties for marketing purposes.

Data Protection and Security

We implement appropriate security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Your data is stored securely and accessed only by authorized personnel who need it to provide our services.

Data Retention

We keep your personal data only for as long as we need it for the purposes described above, and no longer: • Contact-form enquiries: retained for up to 24 months after your last contact with us, then deleted. You can ask us to delete your data sooner at any time. • Active engagements: where you become a client, your data is kept for the duration of the service and a reasonable period afterward to handle follow-up questions. • Records we are legally required to keep (such as accounting and tax records) are retained for the period Thai law specifies, which may be longer than the above. When a retention period ends, or when the data is no longer necessary, we delete or anonymise it.

Your Rights

Under Thailand's Personal Data Protection Act (PDPA), you have the right to: • Be informed about how your data is collected and used (right to be informed) • Access your personal data and request a copy of it (right of access) • Receive your data in a portable format and have it transferred where technically feasible (right to data portability) • Object to certain processing, including direct marketing (right to object) • Request deletion or anonymisation of your data (right to erasure) • Request that we suspend or restrict the use of your data (right to restrict processing) • Request correction of inaccurate or incomplete data (right to rectification) • Withdraw your consent at any time, without affecting processing already carried out To exercise any of these rights, contact us at privacy@vgoalvisaservice.com. Our website uses the following third-party services: • Umami (self-hosted): Privacy-focused website analytics that anonymizes all data and does not use cookies • GlitchTip (self-hosted): Error monitoring that records anonymized technical diagnostics to help us fix faults. It does not use tracking cookies or collect personally identifiable information. • Microsoft Clarity: Heatmap and session-recording service that helps us understand how visitors interact with our website. We run Clarity in cookieless mode, so it sets no _clck or _clsk cookies and does not persist a session across visits or collect personally identifiable information. • Cloudflare Turnstile: A privacy-respecting, no-cookie anti-bot check used on our contact forms to prevent spam. • Formspree: Secure contact form processing • Cloudflare: Website hosting and content delivery Our self-hosted analytics (Umami) and error monitoring (GlitchTip) run on our own server located in the European Union (Helsinki, Finland), not on a third-party advertising network. These services have their own privacy policies and we encourage you to review them. None of these services collect personally identifiable information or use tracking cookies.

International Data Transfers

As a visa consultation service, we may need to share certain information with embassy officials, government agencies, or authorized representatives in the countries where you are applying for visas. This is done only with your explicit consent and as necessary to perform the service you have requested, consistent with the cross-border transfer rules under the PDPA. Where a destination country does not have data-protection standards recognised as adequate, we rely on your explicit consent, having informed you of the possible risks, as permitted under the PDPA.
